Request for a Commercial Partnership for the Importation, Distribution and Marketing of Refined Sunflower Oil in Cameroon and the CEMAC Subregion
As part of its business development strategy, BIYO GLOBAL TRADE (BGT) Sarl, a company incorporated under Cameroonian law and specializing in international trade and the development of commercial partnerships, wishes to establish a structured and long-term business relationship with your company in the edible oils sector, particularly in the importation, distribution and marketing of refined sunflower oil intended for human consumption.
Our project aims to meet the demand of the Cameroonian market by offering a high-quality, competitively priced and affordable product under the producer’s brand, with plans to expand into other markets within the CEMAC subregion, particularly Chad and the Central African Republic.
1. Overview of the Commercial Project
The proposed partnership aims to ensure a regular supply of refined, non-genetically modified (non-GMO) sunflower oil intended for human consumption, packaged in formats suited to the needs of different customer segments.
Our main target markets include Douala, Yaoundé, Bafoussam and other urban and commercial centres throughout Cameroon.
Our distribution network will primarily target:
• Wholesalers and regional distributors;
• Supermarkets and large retail chains;
• Market traders and retailers;
• Food-processing companies and other professional buyers.
2. Forecast Volumes and Supply Programme
For the initial phase, BGT is considering a minimum indicative annual volume of 5,000 metric tonnes, with successive shipments of approximately 1,000 metric tonnes every two months, depending on purchase orders, market absorption capacity and the terms agreed upon by our two companies.
The first commercial transaction would primarily involve a shipment of approximately 1,000 metric tonnes, subject to the validation of the technical, commercial, logistical and financial arrangements.
This programme may be jointly adjusted in line with sales performance, product availability and changes in market demand.
3. Product Specifications and Packaging
The products offered must comply with the applicable quality and regulatory requirements for refined edible oil intended for the Cameroonian market.
The preferred packaging formats are:
• 1-litre PET bottles;
• 2-litre PET bottles;
• 5-litre PET jerrycans;
• 20-litre PET jerrycans.
For each available format, we would appreciate detailed information regarding the number of units per carton, net and gross weight, packaging dimensions, number of cartons per pallet, private-label or branding options, and minimum order requirements.
We would also appreciate receiving information on the country of origin, product technical specifications, quality and analysis certificates, applicable sanitary documentation, and any other documents required for importation and marketing.
4. Commercial and Logistical Requirements
To ensure the competitiveness of the project in the local market, BGT would like to receive a detailed commercial quotation specifying, in particular:
• The price per metric tonne for each packaging format;
• A separate breakdown of the oil cost and PET packaging cost, where applicable;
• The proposed Incoterm, with a preference for CIF Port of Douala, Cameroon;
• The port of loading, country of origin and delivery lead time;
• Available volumes and the proposed shipment schedule;
• Any packaging, labelling and preparation charges;
• The validity period of the quotation and the applicable price adjustment terms.
Our common objective should be to agree on an economically viable proposal that supports sustainable and competitive distribution in Cameroon.
5. Payment Terms and Transaction Security
Given the projected volumes and the need to secure the mutual commitments of both parties, BGT favours an international trade payment mechanism acceptable to both parties, particularly a Documentary Letter of Credit (DLC) or a Standby Letter of Credit (SBLC), subject to the arrangements agreed upon with the banks concerned.
We are also willing to consider other secure and properly documented payment solutions, provided they are compatible with the project's financial capacity and adequately protect the legitimate interests of both parties.
We would therefore appreciate it if your proposal clearly specified:
• Your required payment terms;
• Any advance payments and the rationale for such requirements;
• The documents required for payment;
• The conditions for the release of the goods;
• Available guarantees and the respective responsibilities of both parties.
No final financial commitment will be made before the commercial terms, contractual documentation and agreed transaction security arrangements have been reviewed and approved.
6. Distribution and Partnership Structure
BIYO GLOBAL TRADE intends to develop the Cameroonian market through prospecting, negotiations with professional buyers, the establishment of a distributor network, order monitoring and product brand promotion.
We propose that our partnership agreement clearly define:
• The roles and obligations of each company;
• Supply and resale conditions;
• Volume targets and the order schedule;
• Pricing policy and commercial terms;
• Responsibilities relating to transportation, customs clearance, storage and distribution;
• Promotional, marketing and commercial support activities;
• Performance monitoring procedures and mechanisms for resolving potential disputes.
Depending on supply capacity, business performance and contractual commitments, both parties may also consider granting territorial exclusivity for Cameroon or selected markets within the CEMAC subregion.
Any such exclusivity arrangement would be subject to a written agreement specifying its geographical scope, duration, sales targets, and renewal or continuation conditions.
7. Medium- and Long-Term Partnership Prospects
Beyond the initial shipment, our ambition is to establish a sustainable and long-term business relationship based on reliable supply, transparent contractual terms, cost control and customer satisfaction.
In the longer term, depending on volume growth, both parties may explore opportunities to strengthen the local value chain, particularly in storage, packaging and the development of a broader distribution network.
8. Requested Documents and Information
To enable BGT to assess your proposal and proceed with the next steps, we would be grateful if you could provide the following:
1. Your company profile and commercial references;
2. Your detailed price quotation for the various packaging formats;
3. The product technical data sheet and available quality certificates;
4. Information regarding the country of origin, manufacturer and packaging location;
5. Your production capacity and availability for shipments of 1,000 metric tonnes;
6. The proposed CIF Douala delivery schedule;
7. Your proposed payment terms and available guarantees, if any;
8. Your draft sales contract or commercial partnership agreement, if available.
We would welcome the opportunity to arrange a working meeting to review your proposal, clarify the technical and financial aspects, and establish a joint roadmap for launching this partnership.
We firmly believe that a partnership founded on trust, transparency and mutually beneficial commercial interests can create significant growth opportunities for both our companies. We therefore look forward to receiving your response and remain available to continue discussions.
Thank you for your consideration. We look forward to the prospect of building a successful and lasting business relationship with your company.
